Food Stallholder Conditions and Guidelines

Please note: Late applications will not be accepted. Your completed application form with all attachments (including insurance and certificates) must be submitted by 15 August 2026.

Payment and Fees

Stallholder fees are payable as per the fees and charges detailed in the Stallholders EOI Form. Fees will be determined based on the information provided by stallholders in the EOI Form. Additional fees and charges may arise if changes are made to the stallholder's requirements.

If a stallholder's EOI is successful, stallholders will be invoiced and required to pay all stallholder fees prior to the due date specified by the invoice. A stallholder's position at the festival may be withdrawn if payment is not made by the due date.

Cancellation and Refund Policy

If a stallholder's EOI is successful and the stallholder cancels within 6 weeks prior to the festival, 50% of the stall fees paid will be forfeited. Cancellations occurring less than 3 weeks prior to the festival date will result in 100% of stall fees being non-refundable.

The 2026 Africultures Festival will take place rain, hail or shine. The event will not be cancelled due to inclement weather and no refunds will be given.

Stall Selection and Site Allocation

The Africultures Festival Committee's decision on stall selection and location is final.

Individual private stalls will not be allowed onto Sydney Olympic Park.

Africultures Festival is a community festival that aims to showcase the rich cultural diversity and heritage of the African continent. Africultures Festival reserves the right to decline any stall which does not align with festival objectives.

Food and Cultural Requirements

Important: All food stalls must be decorated in African themes and colours. All food must be from the African continent. Any sales of food, drinks such as juices, ice blocks and so forth, must apply under this category.

All goods proposed for sale by the stallholder must be identified and communicated to Africultures Festival in writing. The Committee reserves the right to ask the stallholder to withdraw any item(s) from sale.

All beverages sold must be in containers other than glass. The sale of alcohol is not permitted at this event.

What's Included in Your Stall

Food stalls will include:

  • A 2.4m × 2.4m (front) and 2.4m × 2.4m (back) stall with flooring, bench top and walls
  • 1 trestle table and 1 chair
  • Extra fees apply for access to power, shared hand washing stations, shared cool room, bain marie
  • Food safety inspection fees apply and are to be paid directly to City of Parramatta

Stallholders will not be permitted to use their own generators.

Installation and Safety

All stalls will be installed as per the Sydney Olympic Park Authority guidelines. This includes the requirement for temporary stalls to be weighted down to prevent movement from wind. A structural engineer must certify that stall installations meet these guidelines.

The stallholder must ensure that appropriate fire safety equipment, including fire extinguishers and fire blankets, is available for the duration of the event.

Food Safety and Hygiene

The stallholder agrees to comply with the Food Handling Guidelines for Temporary Events.

All stallholders must hold a current Food Safety Supervisor Certificate and Temporary Food Outlet Permit from the City of Parramatta. A copy of both must be submitted with the application form.

All food stalls must comply with the NSW Food Safety Standards and Regulations. Inspections will be carried out by the Sydney Olympic Park Authority's Environmental Health Officers throughout the event. Any non-compliance may result in the loss of food and/or trade.

The stallholder must ensure that all food and beverages are prepared and stored in a clean and hygienic manner and that all tools and utensils used to prepare and serve food and beverages are clean and hygienic. Any cooking equipment and other equipment required for the preparation, storage and sale of goods must be provided by the stallholder.

Public Liability Insurance

All stallholders must hold current Public Liability Insurance (minimum of $10 million) covering the stall site activities and products, as well as a Food Safety Supervisor Certificate. A copy of both must be submitted with a completed application form. It is the responsibility of all stallholders to arrange Public Liability Insurance to cover any claim related to the activities of stallholders.

Operations During the Festival

Stallholders are to confine their operations to within the boundary of the allocated stall area. The stallholder is responsible for ensuring that all merchandise, packaging and equipment is kept within the allocated area and that this area is kept clean and tidy at all times throughout the festival.

The Stallholder will be solely responsible for, and bear all risk associated with, the collection of money at the festival and the transfer of money to and from the festival site.

The Stallholder understands and agrees that the Africultures Festival has the right to remove, without refund or recourse, any stallholder who misrepresents themselves or their product.

All directions given by Africultures Festival must be complied with. Failure to follow directions could lead to immediate exclusion from the 2026 Africultures Festival and future festivals.

Vehicle Access and Set-Up

Stallholders may not bring their vehicles into the festival site area at any time during the event other than times designated for loading in and out. Set-up is from 6:00am – 8:30am only and pack-up from 8:00pm. One parking space is provided onsite for each stall.

Stallholders must abide by the set-up and pack-down rules as stipulated by the Africultures Festival Committee.

Waste and Environmental Practices

Africultures Festival encourages environmentally sustainable practices. The stallholder must ensure that all waste is removed at the completion of the event and disposed of correctly.

Photography and Filming

There will be photography and filming taking place at the festival. When you enter the festival site you consent to being filmed or photographed by Africultures authorised photographers for promotional purposes.
