Stallholder Terms and Conditions

Africultures Festival 2026 · Saturday 24 October 2026 · Cathy Freeman Park, Sydney Olympic Park

Please read carefully. By submitting an Expression of Interest (EOI) as a stallholder for the event, stallholders are deemed to have accepted these Terms and Conditions. Submission of an EOI is an expression of interest only and does not guarantee the allocation of a stall site or inclusion at the event.

Payment and Fees

Stallholder fees are payable as per the fees and charges detailed in the Stallholders EOI Form. Fees will be determined based on the information provided by stallholders in the EOI Form. Additional fees and charges may arise if changes are made to the stallholder's requirements.

If a stallholder's EOI is successful, stallholders will be invoiced and required to pay all stallholder fees prior to the due date specified by the invoice. A stallholder's position at the festival may be withdrawn if payment is not made by the due date.

Cancellation and Refund Policy

If a stallholder's EOI is successful and the stallholder cancels within 6 weeks prior to the festival, 50% of the stall fees paid will be forfeited. Cancellations occurring less than 3 weeks prior to the festival date will result in 100% of stall fees being non-refundable.

The 2026 Africultures Festival will take place rain, hail or shine. The event will not be cancelled due to inclement weather and no refunds will be given.

Stall Selection and Site Allocation

The Africultures Festival Committee's decision on stall selection and location is final. Africultures cannot guarantee site preferences — it is at the discretion of the Committee to position stalls in consideration of the overall market design and visitor experience.

Individual private stalls will not be allowed onto Sydney Olympic Park.

Installation and Equipment

All stalls will be installed as per the Sydney Olympic Park Authority guidelines. This includes the requirement for temporary stalls to be weighted down to prevent movement from wind. A structural engineer must certify that stall installations meet these guidelines.

Stallholders will not be permitted to use their own generators. The Africultures Festival Committee will not provide water or power to any stall site. If you require power, contact the Committee — the cost of power is $700 per stall.

Goods and Products

All goods proposed for sale by the stallholder must be identified and communicated in writing to the Africultures Festival Committee. The Committee reserves the right to ask the stallholder to withdraw any item(s) from sale.

All goods for sale must be of good quality and not identified as being hazardous or toxic or having potential to cause injury to any persons.

Africultures Festival does NOT allow religious or political stalls.

The following items are not to be sold at the festival, either individually or as part of a multi-product showbag, or used as giveaways or prizes:

  • Toy weapons of any description (guns, knives, bow & arrows, batons, projectiles, etc.)
  • Loud hooters or horns
  • Silly string or other items of nuisance
  • Cigarettes, alcohol and drug-related goods

The Stallholder understands and agrees that the Africultures Festival Committee has the right to remove, without refund, any stallholder who misrepresents themselves or their product.

Public Liability Insurance

All stallholders must hold current Public Liability Insurance (minimum of $10 million) covering the stall site activities and products. A copy of this cover must be submitted with a completed application form. It is the responsibility of all stallholders to arrange Public Liability Insurance to cover any claim related to the activities of stallholders.

Operations During the Festival

Stallholders are to confine their operations to within the boundary of the allocated stall area and may not move the stall from the allocated site. Signage may be used to identify the stallholder's products.

The Stallholder is responsible for ensuring that all merchandise, packaging and equipment is kept within the Stallholder's allocated area and that this area is kept clean and tidy at all times throughout the festival.

The Stallholder will be solely responsible for, and bear all risk associated with, the collection of money at the 2026 Africultures Festival and the transfer of money to and from the festival site.

All directions given by Event Staff must be complied with. Failure to follow directions could lead to immediate exclusion from the 2026 Africultures Festival.

Amplified Sound Restrictions: Stalls must not create noise that interferes with neighboring stalls or activities.Use of spruiking (loud talking) or amplified sound is generally prohibited or severely limited to ensure it does not disturb adjacent sites.

Vehicle Access and Set-Up

Stallholders may not bring their vehicles into the festival site area at any time during the event other than times designated for loading in and out. Set-up is from 7:00am – 9:00am only and pack-up from 8:00pm. Parking is not provided onsite.

Stallholders must abide by the set-up and pack-down rules as stipulated by the Africultures Festival Committee.

Waste and Environmental Practices

The Africultures Festival Committee encourages environmentally sustainable practices. The stallholder must ensure that all waste is removed at the completion of the event and disposed of correctly. Fees will be charged if this is not adhered to.
